Personalization at scale, without the manual grind
Outbound has a tension at its core: relevance gets replies, but relevance takes time, and time caps your volume. So people pick a side. What personalization actually is
It isn't merge tags. {{firstName}}and "love what you're building at{{company}}" fool no one, they're generic messages wearing a name tag. Real personalization is a true, specific reasonthe message exists for this person right now: the raise, the role they're hiring, the thing they shipped, the post they wrote. One real detail beats a paragraph of flattery.
The bottleneck is research, not writing
Here's the part most people get wrong: the slow, expensive step isn't writing the message, it's finding the relevant detail to write about. Once you know "they just raised a Series B and are hiring two SDRs," the message writes itself in thirty seconds. The grind is the research. So that's the part to make cheap, not the prose.
Tier your effort
Not every prospect deserves the same investment. Tier your list: your top accounts get a genuinely researched, one-to-one message; the broad middle gets messages built around a real shared signal (everyone who just raised, or everyone hiring for a role you serve). That's still personalization, it's relevant and specific, it just scales because the signal does the targeting work.
Use templates as scaffolding, not a crutch
A good structure, specific opener, one-line bridge to the pain, small ask, is worth reusing. The mistake is reusing the content. Keep the skeleton, swap the specifics every time. A template should shape how you write, not replace what you say.
Let the signal carry the relevance
The most scalable personalization isn't clever writing at all, it's reaching people for whom a single, honest observation is already relevant. When everyone on your list shares a live trigger, "saw the raise" is true for all of them and specific to each. Targeting is personalization when the targeting is good.
